The Complete Picture
CatyCloud supports two consultation types: Email consultations for asynchronous communication where patients submit their documents and you respond with a structured medical report at your convenience, and Online consultations for real-time communication via chat, audio, or video at scheduled appointments.
The platform handles the complete workflow: After registering in the secure administration portal, you enter your qualifications, services, and fee rates. Patients access your profile via a personalized link or QR code. When a consultation begins, a virtual practice room is automatically created where you communicate securely and exchange documents. After the session, billing is handled automatically – either directly to the patient (online-only) or through standard medical fee schedules (existing practice).
CatyCloud is not an intermediary platform – it’s a tool. A digital practice solution that supports your existing structures, enables new working models, and brings the personal doctor–patient relationship into the digital future.
Step-by-Step Guides
▶ Your Daily Workflow
- Log in – Sign in with your credentials (email and password)
- Set availability – Enable the communication channels and time slots you would like to offer.
- Review orders – Check assigned consultations
- Conduct consultation – Start email or online consultation
- Document – Create and export the consultation report
The Three Main Areas:
- Availability: Manage communication channels and time slots for today and tomorrow

▶ Conducting Consultations
Email Consultation
The patient submits documents in writing. You review the information and create a medical report, which is sent to the patient by email. You define your response time in your profile. A typical timeframe is 48 hours.
Your tools:
- Medical Report: Complete message history, exportable as structured report
- Consultation Report: Free text and templates for the medical report
- Attachments: Additional documents and images for the patient
Online Consultation
The consultation takes place live at the scheduled appointment. You can switch between different communication channels.
Your options:
- Chat: Text-based real-time communication
- Audio: Voice consultation without video
- Video: Personal face-to-face consultation
You can switch between chat and conference at any time during the consultation.
▶ Payment & Billing
Self-Pay Patients
- One-time Stripe setup – During onboarding, register once with our payment provider Stripe
- Patient fills out form – At the end of the booking process, the patient enters their contact details in a short questionnaire
- Redirect to Stripe – After clicking “Order”, the patient is redirected to Stripe’s secure credit card page
- Card verification – The credit card is validated and the consultation fee is held (blocked) on the card
- Consultation takes place – Conduct your consultation as usual
- Confirm completion – You confirm the consultation is finished
- Automatic settlement – Stripe charges the card and transfers your fee to your Stripe account. The total amount is automatically split into your consultation fee, the agreed CatyCloud service charge, and Stripe’s processing fee
- Invoice sent – The patient receives an invoice by email
Statutory Health Insurance Patients
- Patient fills out form – At the end of the booking process, the patient enters their insurance details in a short questionnaire
- Consultation takes place – Conduct your consultation as usual
- No invoice to patient – The patient is not billed directly
- Export metadata – Request the consultation metadata (patient data, consultation type, date, and duration) from CatyCloud via email
- Transfer to PMS – Your practice staff enters the data into your Practice Management System
- Standard billing – Your PMS handles reimbursement with the health insurance fund, just like an in-person visit
